Vrindaonline
Vendor handbook

Everything you need to sell on Vrindaonline

A simple, step-by-step guide for every vendor — from opening your shop and adding products to shipping, payments and payouts. Switch between English and हिंदी from the toggle in the header.

1. Platform overview

Vrindaonline lets independent jewellers open their own branded online store. You manage everything — products, orders, shipping, payments — from one Vendor Dashboard.

Fees at a glance

ItemCost
Sign-up / listing fee₹0 — free
14-day trialFree, no card required, on every plan
Starter / Growth / Pro plans₹1,999 / ₹2,999 / ₹5,999 per month — zero commission on all three
PayoutsWeekly, direct to your bank

The dashboards you will use

  • Onboarding (on the main site) — first-time shop setup and KYC.
  • Vendor Dashboard — daily work: listings, orders, shipping, payouts, settings.
  • Your storefront — the public shop your customers see, at yourshop.store.vrindaonline.com or your own domain.

2. Onboarding & KYC

Create your seller account, then complete a short setup wizard. Your progress is saved automatically — you can stop and resume any time.

🎬 Video: register, KYC & submit for review (about 3 min)

Step A — Create your account

  1. 1Click “Start selling” in the top header (or go to /sell/register).
  2. 2Enter your name, email, mobile number and a strong password, then register.
  3. 3Log in at /sell/login. You will be taken straight to the setup wizard.

Step B — Complete the 6 setup steps

StepWhat to fill
1. Your shopShop name and a short pitch about your craft.
2. Business detailsBusiness type, PAN and GSTIN (GST is optional below ₹40 lakh yearly turnover).
3. Bank for payoutsAccount holder name, account number and IFSC. Your earnings are sent here.
4. Pickup addressThe address from where couriers will collect your parcels.
5. Brand your shopUpload logo and banner, and pick a theme.
6. Verify identityUpload a clear ID document (JPG / PNG / PDF).

Step C — Submit for review

  1. 1When all 6 steps show complete, submit your application for review.
  2. 2Our team reviews KYC within 24–48 hours. You are notified by email.
  3. 3Once approved, your shop goes live and the Vendor Dashboard is fully unlocked.
💡 Keep scans clear and readable. Blurry or cropped documents are the most common reason for rejection. If rejected, the reason is shown on the review page — fix it and re-submit.

3. Adding products

Go to Listings → New listing. The listing editor is a 7-step wizard. Your draft is auto-saved in the browser, so nothing is lost if you close the tab.

🎬 Video: how to add a product (2 min)
StepWhat to do
1. Photo & VideoUpload sharp photos on a plain background — up to 8 photos, PNG or JPG, 5 MB each. The first photo is the cover image. Add front, side and close-up detail shots.
2. CategoryPick the right category (e.g. Necklaces → Choker). It decides which attributes you will see next.
3. Item DetailsTitle, description and category-specific attributes — metal, purity (e.g. 22K), weight, stone, HUID for hallmarked gold.
4. Item OptionsAdd tags and variations such as size, colour or metal type. Each combination can have its own SKU, price and stock.
5. Pricing & ShippingSet price, stock quantity, package weight and choose a shipping method and return policy.
6. How It’s MadeTell the story — handmade or not, origin, technique. Customers trust makers with a story.
7. SettingsChoose visibility, then click Publish.

Managing existing listings

  • Edit any listing from Listings → click the product. Changes go live when you save.
  • Use Inventory to update stock quickly across many products.
  • If a listing is rejected, open it, read the rejection note, fix the issue and resubmit.
💡 Tip: accurate weight and purity are mandatory for jewellery and are the most common reason listings get rejected. Titles should describe the item honestly — avoid misleading keywords.

4. Your storefront & domain

Every approved shop gets its own branded storefront. You control the look with presets and a block-based page builder — no code needed.

🎬 Video: choose a theme & design your storefront (about 3.5 min)

Design your shop

  1. 1Open Storefront from the left menu. Under Theme presets you will see seven looks — Classic, Modern, Minimal, Luxury, Boutique, Heirloom and Luxe Minimal. The badge “Current: …” shows the theme that is live now.
  2. 2Click Apply on the theme that suits your brand and confirm. The theme sets colours, fonts and the default layout of your homepage, product page, cart and checkout in one click.
  3. 3Scroll to “Pages you can customise” and click Edit homepage (or Edit product page / cart / checkout) to open the page editor. Each card shows Published, Draft or Not set up.
  4. 4In the editor, the left column lists the blocks, the middle shows a live preview and the right column holds the settings of the selected block. Click a block, change its text, image or button — the preview refreshes and the change is auto-saved as a draft.
  5. 5Click + Add block to add a section. Drag the handle to reorder, use the eye icon to hide a block without deleting it, and use Duplicate or the × button to copy or remove it.
  6. 6Check the Mobile and Tablet views above the preview — most shoppers browse on phones.
  7. 7Click Publish to make it live. Customers only see the published version. Use Versions to restore an older one.
  8. 8Add your logo and brand colour from Settings → Shop profile.
⚠️ Applying a preset resets the look of your homepage, product page, cart and checkout to that preset’s defaults. Your products, orders and content stay safe.

Free subdomain

  • Your shop is instantly available at yourshop.store.vrindaonline.com.
  • Change the subdomain name from Settings → Domains.

Connect your own domain (e.g. yourbrand.com)

  1. 1Buy a domain from any registrar (GoDaddy, Namecheap, BigRock…).
  2. 2Go to Settings → Domains, enter your domain and click Add. The status becomes PENDING and a DNS TXT verification record is shown.
  3. 3In your registrar’s DNS panel, add that TXT record, and point the domain (A / CNAME record) to the address shown on the screen.
  4. 4Click Verify. When the DNS check passes, the status turns VERIFIED and your shop opens on your domain. We set up the SSL certificate for you.
💡 DNS changes can take up to 48 hours to propagate. If Verify fails, wait a while and try again.

5. Page builder & AI

Build your homepage and extra pages (About us, Care guide, Lookbook…) from ready-made blocks — no code. Sections group your products into browsable collections.

Create a page

  1. 1Open Pages → New page.
  2. 2Enter a title. The URL slug is filled automatically — use only lowercase letters, numbers and dashes (e.g. about-us).
  3. 3Tick “homepage” if this should be your shop’s front page (you can also set it later from the page list; only one page can be the homepage).
  4. 4Click the page to open the editor.

Edit, save and publish

  1. 1Add blocks and edit each one’s text, images and settings. Changes auto-save as a draft every couple of seconds (you will see “Saved”).
  2. 2Use the preview to check how it looks before customers see it.
  3. 3Click Publish (or “Save & publish”) to make the page live. Customers only see the published version — your draft stays private.
  4. 4Made a mistake? Open Versions and restore an earlier published version into your draft.
  5. 5In the page settings you can also set the SEO title, SEO description and share image for search engines.

✨ Generate with AI

  1. 1In the page editor click “Generate with AI”.
  2. 2Describe your shop in one or two sentences — your style, what you sell and who your customer is (max 1000 characters). Example: “Handmade silver jewellery inspired by the ocean, for women who love minimal styles.”
  3. 3Choose whether to replace existing blocks or append the new ones after them, then click Generate.
  4. 4AI drafts the blocks — edit the text and images, then publish.
💡 If AI is not available on the platform, a ready-made template is used instead. Always review AI text for accuracy (metal, purity, prices) before publishing.

Shop sections

  • Open Sections to create groups such as “Necklaces”, “Earrings” or “New arrivals”. You can rename or delete a section any time.
  • Assign listings to a section in the listing editor so customers can browse your shop by section.

6. Media library

Every image or video you upload is saved to your private Media library, so you can reuse it in the page builder, logo and banners without uploading again.

  1. 1Wherever you need an image or video (page-builder blocks, logo, banners), click the picture field — the Media library panel opens.
  2. 2Library tab: see your existing files, search by alt text, and click one to select it.
  3. 3Upload tab: drag & drop or pick files from your device (several at once). Only images and videos are accepted. After upload they appear in the Library.
  4. 4Paste URL tab: use an image that is already hosted online, without uploading.
  • Add a short alt text (e.g. “22K gold jhumka, front view”) — it helps search engines and visually-impaired customers, and makes files easy to find later.
  • Use sharp, well-lit photos and compress very large files for a faster-loading shop.
💡 Product photos in the listing editor are uploaded with the listing itself (Photo & Video step).

7. Payment gateway integration

Go to Payment methods in the Vendor Dashboard. You can connect your own Razorpay account so customers’ money settles straight to your bank, and also offer UPI, bank transfer or Cash on Delivery.

🎬 Video: connect Razorpay & webhook (about 2.5 min)

Available payment methods

MethodHow it worksYou need
RazorpayCustomers pay online (cards, UPI, netbanking, wallets). Money settles to your bank per your Razorpay settings.Key ID, Key Secret, (Webhook Secret)
UPI (manual)Your UPI ID is shown at checkout; customer pays and you confirm.UPI ID (VPA), display name
Bank transferCustomer transfers to your bank account and you confirm receipt.Account holder, last 4 digits, IFSC, bank name
Cash on deliveryCustomer pays the courier on delivery.Optional note for customers

Connect Razorpay — step by step

  1. 1Create a free account at razorpay.com and complete its KYC. You can start in Test mode first.
  2. 2In the Razorpay Dashboard open Account & Settings → API Keys → Generate Key. Copy the Key ID (starts with rzp_test_ or rzp_live_) and the Key Secret. The secret is shown only once — save it safely.
  3. 3In our Vendor Dashboard: Payment methods → Razorpay → enter a label, choose mode (TEST or LIVE), paste Key ID and Key Secret.
  4. 4Set up the webhook (recommended — see below), paste the Webhook Secret, then Save.
  5. 5Click Test on the saved method. “Razorpay credentials authenticated” means your keys work.
  6. 6Use Set default to make it the main method, and keep it Active.
  7. 7Place one small test order in TEST mode. When happy, add a new method with your rzp_live_ keys in LIVE mode and make that the default.

Webhook setup (so orders are confirmed automatically)

  1. 1In Razorpay Dashboard: Account & Settings → Webhooks → Add New Webhook.
  2. 2Webhook URL: https://<our-api-domain>/api/payments/webhook/razorpay — use the exact URL given to you by the Vrindaonline team / shown in the dashboard.
  3. 3Choose a secret of your own, and select events payment.captured and order.paid.
  4. 4Paste the same secret into “Webhook Secret” in our Razorpay payment method form.
💡 The webhook is the source of truth for payment confirmation. Without it, an order may stay unpaid if a customer closes the browser right after paying.

Good to know

  • Your Key Secret is stored encrypted and is never shown again. When editing, leave it blank to keep the existing one.
  • Never share your Key Secret with anyone, including on chat or email.
  • You can activate / deactivate or delete a method at any time. Only Active methods appear at checkout.
  • If you add no method, your shop falls back to the platform’s Razorpay until you add one.

8. Shipping setup

Open Shipping in the Vendor Dashboard. It has three tabs, to be done in this order: Pickup address → Carrier accounts → Shipping methods.

🎬 Video: pickup address, carrier & shipping method (about 2 min)

1. Pickup address

  1. 1Fill contact name, phone, address lines, city, state, postal code and country (IN).
  2. 2Click Save address. Couriers collect parcels from here and it is printed as the sender on labels.

2. Carrier accounts (optional)

  • Supported carriers: Delhivery, Blue Dart, DTDC, FedEx and Shiprocket.
  • Choose a carrier, enter the credentials it asks for (API token / login ID / license key, client name, pickup pincode…) and choose TEST or LIVE.
  • Click Verify to check the credentials. Once verified, labels and tracking can be created automatically.
  • Skip this step if you prefer to ship manually — you can enter courier name and tracking number yourself.
💡 Get your carrier credentials from your carrier’s account manager or developer / API portal.

3. Shipping methods (what customers see at checkout)

  1. 1Click Add method and give it a name, e.g. “Standard delivery”.
  2. 2Choose Flat rate or Live rates (fetched from the carrier).
  3. 3For flat rate set the base rate, an optional per-item rate, and an optional “free above ₹X” amount to encourage bigger carts.
  4. 4Set the delivery estimate (min–max days) and the zones you serve.
  5. 5Save. At least one active method is needed for customers to complete checkout.
💡 For high-value jewellery, always ship insured and take a video while packing — it protects you in any dispute.

9. Orders & dispatch

New paid orders appear in Orders as “NEW ORDER” and you get a notification. Each order item has its own status, so orders with items from many vendors ship separately.

  1. 1Open Orders and check the order details and customer address.
  2. 2Pack the item securely with the invoice.
  3. 3Go to Dispatch to generate shipping labels for new orders (works in bulk). If you use a connected carrier, the tracking number is filled automatically.
  4. 4No connected carrier? Open the order → Mark as Shipped → enter courier name and tracking number.
  5. 5Use Manifest to print the pickup manifest / handover sheet for the courier.
  6. 6The customer is notified automatically. Status moves to Shipped → Out for delivery → Delivered. Track progress in Tracking.
⚠️ Ship within the promised time. Delayed dispatch leads to cancellations and bad reviews.

10. Returns & return policies

Define your rules once in Return policies, then attach a policy to each listing in the editor. Customers request returns from their account.

  1. 1Create policies in Return policies (e.g. “7-day return”, “No returns — custom items”).
  2. 2When a customer raises a request, it appears in Returns. Read the reason and Approve or Reject.
  3. 3After the item reaches you and you check it, click “mark received”. The marketplace then issues the refund to the customer.

11. Payouts & commission

Your earnings from delivered orders are settled to your bank every week. Every plan is zero commission, so nothing is deducted.

How your payout is calculated

LineAmount
Gross sales (delivered items only)e.g. ₹10,000
Commission₹0 — zero on every plan
Net payout to you₹10,000
  • There is no free tier — every plan (Starter, Growth, Pro) is paid monthly, after a 14-day free trial.
  • Only items with status DELIVERED are included in a payout — refunded or cancelled items are not.
  • A settlement run happens weekly and creates a PENDING payout, which turns PAID once the transfer is made and a UTR reference is recorded.
  • See every payout and its line items in Payouts. Download sales data from Reports.
  • Payouts are for orders paid through the platform. Payments made through your own connected Razorpay account settle directly to you via Razorpay.
⚠️ Make sure your bank details (Settings → Bank) are correct. A wrong account number or IFSC will delay your payout.

12. Reviews & customer questions

Reviews and questions are public on your product pages. Answering quickly and politely builds trust and helps sales.

Reviews

  1. 1Open Reviews. Filter by All, Unanswered, Answered or Hidden.
  2. 2Click Reply, write your response (thank the customer, address the concern, or offer help) and click Post response.
  3. 3Off-topic or abusive reviews can be hidden using the Hide link; you can unhide them later from the Hidden filter.
⚠️ Hide only genuinely abusive or irrelevant reviews. Hiding honest negative reviews hurts customer trust.

Customer questions (Q&A)

  1. 1Open Questions to see pre-purchase questions asked on your product pages.
  2. 2Type a helpful answer (size, weight, purity, delivery time, customisation…) and submit. Your reply is shown publicly on the product page.
  3. 3Use Hide for spam or irrelevant questions.
💡 You get a notification (bell icon) for new questions and reviews — check them daily.

13. Coupons, marketing & analytics

Grow sales with promo codes, ad tracking and reports.

  • Coupons — create promo codes for all products or a selected set.
  • Ads & tracking — connect your Meta Pixel (Facebook / Instagram), Google Analytics 4 and Google Ads conversion IDs so ad clicks are tied to sales on your store.
  • Product feed — a public feed of your products is available for Google Merchant Center / Meta catalogue.
  • Analytics & Reports — track views, orders and revenue to see what sells.

14. Settings guide

Settings has 7 tabs on the left. Here is what each one does.
